File Archiving 101
The quintessential tool in photo organization is a file renamer. Order invoked on the background of your hard drive eliminates chaos and creates the opportunity for digital order.File renaming tools are a core part of maintaining any file archive. Archives simply tossed into a large external storage disk sound like a great idea but often it doesn’t work out. My own file archive is a nightmare because I started it without organizing software tools like RenameMaestro. My hard drive is maintained with a file renaming tool and I never worry about losing a file. I have yet to review and rename my main file area but I will organize it sooner rather than later. The morals you can learn from my errors are many but the best example is my triumph. Most people organize the files they use to make a living professionally. That’s what I did. I don’t regularly use my old storage archive and it isn’t a priority unless there is a file I need to use for legal purposes. My immediate file archive on my laptop is a priority. That is where file RenameMaestro came into use. The tool let me set up my archive and put everything into a logical naming convention. I never lose my files on my laptop. Most users don’t think that a file could be utterly lost on the laptop but it happens all the time. Many artists name a file something odd, and forget about that file until they need it. The most unfortunate part is that when the day comes that you desperately need that file, you may not have hours to search for it. Some great examples of files that fit this description are resumes, legal documents, business invoices, business statements, statements and loan applications. These are all files you need to keep straight and not produce multiple versions of these files. Doing so can be criminal. Failure to keep files in order seems trivial but in the face of a major business move or IRS audit, it isn’t trivial. It could be the difference between losing everything. Tools that rename files are essential to maintaining order. Make sure you have one on your machine.
